What we collect
The personal data we hold, and where it comes from
From tenants
Name, contact details, date of birth, employment and income information, referencing results, right-to-rent documents, previous landlord references, guarantor details, bank details for rent payments, and emergency contacts where relevant.
From landlords
Name, contact details, bank details, property details, identity and anti-money-laundering verification, and tax-relevant information such as non-resident landlord status.
From third parties
Referencing and credit reference agencies, previous landlords or agents, the Home Office's Right to Rent checking service, and the Deposit Protection Service.
We also use GoatCounter for website analytics, which is cookie-free and doesn't collect personal data.
Who we share it with
Only who genuinely needs it
Referencing and credit reference agencies; the Deposit Protection Service; the Home Office, for Right to Rent checks; contractors, but only what they need to carry out a repair or visit; HMRC and local authorities where we're legally required to; and the software providers who run things on our behalf, under a data processing agreement, never for their own purposes.
How long we keep it
No longer than we need to
Tenancy records: for the tenancy plus 6 years afterwards. Unsuccessful applicant data: typically up to 12 months, unless you ask us to keep it for future opportunities. Landlord anti-money-laundering records: a minimum of 5 years after the relationship ends, as required by law.
Your rights
What you can ask of us
Access & correction
See the personal data we hold about you, and have it corrected if it's wrong.
Deletion & restriction
Ask us to delete your data in some circumstances, or restrict or object to how we use it.
Portability & consent
Receive a copy in a portable format, and withdraw consent at any time where we rely on it.
We don't make any decision about you using fully automated means with no human involved — a person always reviews referencing and application outcomes. To use any of these rights, email office@rentl.properties.
